Position: Office Manager
Organization: Alberta Institute for Wildlife Conservation
Location: Madden, near Calgary, Alberta

Position: Full-time, 40 hours per week.

The Alberta Institute for Wildlife Conservation (AIWC) seeks an Office Manager to oversee the daily operations of our wildlife hospital. We are looking for an individual whose values align with our organization’s vision and mission and who can provide positive leadership and mentorship to staff and volunteers.

Summary of Duties:

  • Works directly with the veterinarian in prioritizing cases to be reviewed.
  • Delegate tasks and cases to staff on a daily basis.
  • Hiring, supervising, and assisting with the training of animal care staff and volunteers.
  • Develop, update, and maintain animal care staff job descriptions and employee personnel files.
  • Animal care staff scheduling, and managing staff time sheets.
  • Schedules and coordinates animal care staff performance reviews.
  • Developing and monitoring Wildlife Rehabilitation Program budget.
  • Maintain rehabilitation records and prepare statistics and reports for annual permits and research opportunities. This includes patient database maintenance and keeping patient board up-to-date and accurate.
  • Develops and implements a schedule for hospital and equipment maintenance.
  • Orders and supervises inventory for medical and non-medical supplies.
  • Designs and administers safety and security regulations and training.
  • Ensuring that all staff and volunteers are fulfilling provincial/federal requirements for rehabilitation.
  • Develop and research continuing education opportunities for clinic staff and volunteers.
  • Keeping up-to-date with current literature and making sure all staff and volunteers are provided the education/tools they need to succeed.
  • Maintaining a relevant and current library of resources for clinic staff.
  • Maintaining communication with area veterinary clinics.
  • Answer and direct phone calls from the public and volunteers, as needed.
  • Housekeeping duties including laundry, dishes, floor cleaning, etc.
  • Maintain a positive, healthy, and safe work environment.
  • Assist with direct animal care, as needed.
  • Other duties as required.


  • Previous experience managing a veterinary clinic is an asset.
  • At least 2 (two) years’ experience in a management position.
  • Animal care experience is an asset.
  • Experience leading and managing a diverse team.
  • Eagerness to teach others.
  • Excellent project management and time management skills, and the ability to perform well under pressure.
  • Excellent computer skills.
  • Excellent verbal, written, and presenting skills.
  • Valid class 5 driver’s license and access to a reliable vehicle.

Salary/Hours of Work:

Salary: $41,000 per annum.

Schedule: 40 hours per week. Flexible schedule is required, including weekends and statutory holidays.
