Executive Assistant position:

Are you great at organizing ideas, information, and tasks? Do you have experience providing dynamic support to leadership teams? Are you passionate about making positive change? Greenpeace Canada (GPCA) is seeking an Executive Assistant to provide strategic support to the Executive Director and senior management team, to support the Board of Directors, and to coordinate the organization’s governance processes and activities.

The ideal candidate will have high level administrative, organizational, and time management skills. They will be able to anticipate challenges and opportunities and be proactive in acting on them. A strong communicator with emotional intelligence, they will be an effective conduit for the flow of information between senior management, the Board, and Greenpeace Canada staff, in all directions.

Major Responsibilities:

  1. Provide strategic executive support to the Executive Director and assist with the overall administration of the Executive Director’s office (EDO) and senior management team.
  2. Coordinate Greenpeace Canada’s governance activities. Work closely with the Executive Director and Board Chair, and act as the key link between Greenpeace Canada’s senior management team, Board of Directors, and Voting Members. Prepare Board reports and manage Board processes.
  3. Prepare, manage, track, and report on the EDO and governance budgets, and manage the expenses of the Executive Director and members of the Board.
  4. Structure and manage electronic filing systems for the Executive Director’s Office, the senior management team, and the Board of Directors.
  5. Ensure adherence to legal requirements for non-profit organizations (minutes, corporate filings, etc).
  6. Arrange and coordinate meetings and events, including booking venues and catering, making travel arrangements, ensuring meeting rooms are set up and technical requirements are met, greeting visitors, preparing and distributing documentation and taking minutes.
  7. Manage internal projects and provide support to key GPC initiatives as assigned by the Executive Director.

Skills & Experience:

The ideal candidate will have the following:

  • 5-7 years experience in related positions supporting senior management and governance functions, ideally in a not-for-profit setting
  • High level administrative, organizational and time management skills
  • Strong written and verbal communication skills
  • Meticulous with details
  • Ability to meet deadlines and juggle multiple projects simultaneously
  • Ability to plan and implement projects with a high level of independence
  • Ability to handle highly sensitive information in a confidential manner
  • Strategic thinker
  • Strong emotional intelligence & interpersonal skills; a great team player that contributes to a positive work environment
  • Comfort working with diverse staff and teams across distance and borders, often remotely
  • Bilingualism (English and French, and other languages) is highly desirable


This is a full-time, permanent position. Our benefits package includes: generous holidays; dental and extended medical insurance for you and your family; and contributions towards a fossil-fuel-free pension plan equal to 5% of your gross salary. Greenpeace Canada is currently piloting a 4-day (28 hour) work week.
