Request for Proposal

1. Summary and Background

The Fair Finance Fund is currently accepting proposals for the Communications Coordinator.

Project summary:

The Fair Finance Fund (“Fund”) is a non-profit social finance fund dedicated to providing loans and mentorship services to local food and farm enterprises that value strong local food systems, local economies, and a healthy planet. The Fair Finance Fund has built on seed capital to implement an ongoing investment opportunity for community-minded investors, that is, individuals who want to invest their capital to build local food systems in Ontario to support food that is grown, raised and processed in their own backyards.

The Communications Coordinator is primarily responsible for the development and delivery of outreach communications on behalf of the organization, including both northern and southern outreach. This relates to all communications needs through social media, mailing lists, press releases and annual reports. The Communications Coordinator is responsible for planning and developing communications plans with the rest of the team, and seeing that they are executed appropriately.

The Communications Coordinator will be part of the team implementing the Fair Finance Fund, which includes two Regional Coordinators, the Project Manager, and the Board. The position is supervised by the Project Manager.

Eligibility and guidelines

This RFP is open to individuals with expertise in social finance project management in Ontario’s food and farming sector, and a network of contacts and partners in their region. Successful applicants will have access to a home office and will have significant expertise in food and agriculture issues in northern Ontario.

2. Project Purpose and Description

The mission of the Fair Finance Fund is: to mobilize equitable and accessible capital for Ontario's food and farm enterprises that create social, environmental and economic benefits.

The Fair Finance Fund (“Fund”) isa non-profit social finance fund dedicated to providing loans and mentorship services to local food and farm enterprises that value strong local food systems, local economies, and a healthy planet. The Fair Finance Fund builds on seed capital to implement an ongoing investment opportunity for community-minded investors, that is, individuals who want to invest their capital to build local food systems in Ontario to support food that is grown, raised and processed in their own backyards.

By fulfilling the mission, the Fund:

  • Strengthens and expands regional local food systems across Ontario
  • Creates equitable access to capital for social enterprises in Ontario’s food system
  • Supports food and farm enterprises offering social, environmental and community benefits
  • Improves rural economies through job creation and circulating money in local communities
  • Provides a vehicle for people to invest in their beliefs

The Fund is an incorporated non-profit corporation governed by a Board of Directors, with a Loan Review Committee, management by the partners and Fair Finance Fund staff (including northern Ontario staff and partners), and a pool of advisors to support loan recipients to achieve success in their social enterprise. The Communications Coordinator is supervised by the Project Manager.

3. Timeline: The contract is for September 1 to December 31, 2020 with the expectation of extension pending budget approval by the Board. The expectation is for half-time (2-3 day) availability.

4. Deliverables

External Communications:

  • With input from staff, develop and manage marketing plan for all campaigns, events, outreach
  • Write, design and manage monthly e-news communications
  • Manage and maintain partner database
  • Create promotional materials for use on website and on the road (brochures, postcards, flyers, etc.)
  • Maintain outreach to partners to share promotions
  • Devise and implement media and outreach strategies around special events (i.e. online or public events, webinars)
  • Provide support to Fund team at events and trainings through promotions, support online, technical guidance on recordings and photo management
  • Develop news releases, fact sheets, toolkits, infographics, social media posts, blog posts, newsletter columns and other forms of communication
  • Develop and implement social media plan
  • Provide reports on communications (social media, website traffic, reach, etc.)

Website Development & Maintenance:

  • Develop website content for regular updating
  • Maintain website: ensure website content is dynamic, up to date and reflects the culture and features of the Fund (Squarespace platform)
  • Monitor website for broken links and correct as necessary
  • Use Google Analytics and other tools to measure effectiveness of website changes on visitor engagement
  • Manage email accounts and technical requests by team

Please note that further outcomes may be requested or some changes may be necessary as the project develops.

5. Project Budget

The budget for this contract is in a range depending on experience and other considerations and will be commensurate with that experience. Please note standard daily rates in the application.

6. Bidder Qualifications

The candidate will have:

  • Ability to work well with others with patience, tolerance and a willingness to consider others’ opinions
  • Ability to work with a supervisor as well as independently
  • Exceptional writing, editing and proofreading skills with proven ability to draft clear, professional communications
  • Exceptional interpersonal skills
  • Proficient in content creation and management on various web platforms
  • Proficient and familiar with using software tools and platforms, including Microsoft Office, Google Analytics, Google Drive, and social media platforms
  • Understanding of sustainable food and agriculture issues
  • Outstanding organizational, project management and prioritization skills
  • Self-motivated, creative problem solver with high attention to detail
  • Fun to work with; defaults to kindness and humour
  • Able to travel and able to meet both in person when possible (safely), or via teleconference
  • Able to work from home or remote office
  • Knowledge of the local food and farm sector
  • Able to work with spreadsheets, cloud-based document sharing, loan software
  • Experience with non-profits and social enterprises

Content of proposal

Submissions should provide the following items as part of their proposal for consideration:

  • A detailed CV
  • A letter of interest with:
    • Description of communications, graphic, website development experience
    • Description of experience in the local food and farm sector
    • Description of experience working with a team and under supervision
    • Description of experience with social enterprises
    • Examples of other contracts or projects related to the local food and farm sector (specific to financing preferably)
    • List of any other project related experience.
    • Description of general plan of approach to project
    • Contract budget expectations
  • References (contact information)

7. Proposal Evaluation Criteria

The Fair Finance Fund will evaluate all proposals based on the following criteria. To ensure consideration for this Request for Proposal, your proposal should be complete and include all of the following criteria:

  • Overall proposal suitability: proposed concepts must meet the scope and needs included herein and be presented in a clear and organized manner
  • Organizational experience: proposals will be evaluated on the consultant’s experience as it pertains to the scope of this project
  • Previous work: applicants will be evaluated on examples of their work pertaining to the previously stated experiential requirements of the project.
  • References are necessary with all claims of experience related to this project.
