Position: Virtual Office Manager
Organization: BC Sustainable Energy Association
Location: anywhere in BC

Job Brief

Are you passionate about a sustainable energy future in BC? We are looking for a virtual office manager to join our team. The successful candidate will act as the point of contact for all employees, contractors, members, chapter leaders, advisors, board directors and members of the public, providing administrative support and managing their queries. Main duties include answering emails and phone calls, preparing regular reports (e.g. expenses and contributions), organizing files, financial documents and contact data, and coordinating newsletters and social media posts. The Virtual Manager will work independently with minimal supervision and will be required to have access to a reliable internet connection and a personal computer. If you have previous experience in office administration or a similar a role, we’d like to meet you.



  • Preparing regular financial and administrative reports

  • Administration of association databases

  • Prepare regular reports on expenses and receivables for the board and bookkeeper

  • Organize a virtual filing system for important and confidential company documents

  • Answer queries by BCSEA leadership, staff and members

  • Update office policies as needed

  • Maintain a company calendar and schedule appointments

  • Book meeting rooms, as required

  • Deposit and record membership dues, donations, and sponsorships

  • Support preparation of applications and reports to granting agencies

  • Schedule and support BCSEA events

  • Support other team members using virtual communications platforms


  • Responding to emails and phone calls

  • Provide service as first point of contact for clients, sponsors, donors, members, volunteers, partners, and the public

  • Respond to emails and phone calls

  • Maintain and update contact management database

  • Add and update website content with access to support by external IT contractors

  • Monitor, distribute and store correspondence (e.g. letters, emails and packages)

  • Prepare communications about news and events through our newsletter and social media


  • Strong organization skills and attention to detail

  • Self-motivation with a problem-solving attitude

  • Excellent written and verbal communication skills

  • High school diploma; additional qualifications in Office Administration are a plus

  • Proven work experience as an Administrative Officer, Administrator or similar role

  • Experience working with various stakeholders and the public

  • Familiarity with online tools, such as GSuite, GoTo Meeting, contact management, social media (e.g. Facebook, Twitter, LinkedIn, Hootsuite) and instant messaging platforms (e.g. Slack)

  • Experience with office management software like MS Office (MS Excel and MS Word, specifically)

  • Experience working in a not-for-profit or charity under management by a volunteer Board of Directors is an asset

  • Familiarity with the open source systems Drupal and CiviCRM is an asset
